An AI Field answers one question about a recording and fills in the answer for you. Ask things like "What's the main pain point?", "Was a competitor mentioned?", or "What's the next step?", and Claap reads the meeting and writes the answer in a column, on its own.
The result: reps stop scrubbing through transcripts, and managers finally get clean, structured data they can report on. This guide walks you through creating your first AI Field, running it automatically, syncing it to your CRM, and keeping an eye on your AI Credits.
💡 In short: one AI Field = one question + one automatic answer, for every meeting. |
A quick example before we start
Say you run discovery calls. You could create three AI Fields:
Pain point → "What's the prospect's main pain point?"
Budget → "What budget, if any, was mentioned?"
Next step → "What was agreed as the next step?"
From then on, every new call shows those three answers side by side in a table, no manual note-taking, and you can push them straight to your CRM. That's the whole idea. Now let's set it up.
Creating your first AI Field
AI Fields live in your Meeting views (the smart tables where your recordings are listed). Wherever you used to pick a template, you'll now see Add AI Field.
Open a Meeting view and click Add AI Field (or Add column).
Start from scratch, or pick a ready-made template, Action items, Customer needs, Pain points, Deal timing, Champion, Budget, Decision, and more.
Choose the field type: Bullet points, List, Paragraph, or Checkbox, depending on the kind of answer you want.
Write your prompt, the question Claap should answer for every meeting. The clearer the question, the better the answer.
(List-type fields) Optionally turn on Add timestamps on each item to jump straight to that moment in the recording.
(Optional) Map the field to a CRM field to sync the answer automatically (more on this below).
Click Create AI Field.
That's it, your new column is ready. And you're always in control: every AI Field can be edited or archived later, nothing is set in stone.
💡 Writing a good prompt: be specific and ask for one thing. "List the objections the prospect raised" works better than "Tell me about the call." |
Test before you roll out (it's free)
Not sure your prompt is right? Try it first.
Testing a field on a few recordings is completely free, so you can fine-tune the wording until the answers look right.
Once you're happy, generate the field across all rows, or only on the empty ones to save credits.
No surprises, no commitment, refine, then roll out.
Let it run on its own (auto-run)
This is where AI Fields save you the most time.
Each field has an Auto-run toggle. Switch it on, and the field is generated automatically on every new meeting, you never have to click "generate" again. Pair it with CRM sync (below), and your records stay structured and up to date without anyone lifting a finger.
Sending answers to your CRM
Want your AI Field answers in HubSpot or Salesforce? Map the field to a CRM field, and Claap pushes the generated value over automatically (for example, Send to HubSpot).
Each field maps to the right CRM object, and once the answer is generated, you'll see it sync across. No copy-paste, no double entry.

Where to find your answers
Your AI Field values show up in two places:
In a Meeting view (smart table): each AI Field is a column, filled in for every meeting, perfect for scanning across lots of calls at once.
In a recording → Insights tab: you'll see the generated values for that specific meeting, grouped by view.
Understanding AI Credits
AI Fields run on AI Credits. Every plan includes a monthly pool of credits shared across your whole workspace, so there's nothing to manage per person.
Here's what's free and what costs a credit:
Free, use them freely:
Testing a field
Meeting summaries
The AI companion
Chapters
1 credit each:
Running a field
Claap AI chat
AI follow-ups
The Coaching tab
You can see your usage any time, right in the app, so there's never a mystery about where your credits go.
For admins: keeping things tidy
By default, anyone in your workspace can create and share AI Fields and views, great for letting reps experiment. If you'd like more structure, admins have a few extra controls:
Restrict creation and sharing: decide who can create AI Fields and who can share them, from settings.
AI columns management page: list, search, share, archive, and restore every field in one place.
Private vs. shared fields: a rep can tinker with a field in their own view, while you keep a single, governed source of truth that feeds your automations, reports, and dashboards.
The idea: freedom to experiment for everyone, a clean source of truth for you.
FAQ
What happened to Insights and smart columns? They've become AI Fields, same idea, more flexible. Your existing Insights carried over automatically, with no data loss, so you don't need to rebuild anything.
How do AI Credits work? Each plan includes a monthly credit pool shared across your workspace. Testing a field is free; running a field, Claap AI chat, AI follow-ups, and the Coaching tab each cost one credit. Summaries, the AI companion, and chapters are free.
Who can create or share AI Fields? By default, anyone in the workspace. Admins can restrict creation and sharing from settings.
I archived a field by mistake, is it gone for good? No, archiving is reversible and keeps the data. You can restore the field whenever you need it.
My Auto-run toggle isn't staying on. Make sure you're on the latest version, this was a known issue that has been fixed. Turn Auto-run back on and it will stick; reach out to us if it doesn't and we'll take a look.
