Some of my HubSpot deals don't show up in Claap

You open your Deals page in Claap, count the rows, and the number doesn't match what you see in HubSpot. You check your filters, and there aren't any. Nothing is broken, and here is why.

How a deal reaches Claap

A deal shows up in Claap only when two records exist and are linked: the deal record on the HubSpot side, and a corresponding record on the Claap side.

The Claap side is created by activity. When a meeting is recorded and an external participant on that call is tied to a HubSpot deal, Claap creates the link and the deal becomes visible in your Deals page. Until something has been recorded and matched, there is nothing on our side to connect to, so the deal stays invisible in Claap even though it exists perfectly well in HubSpot.

This is why the gap almost always runs one way. Claap shows fewer deals than HubSpot, never more.

Check it in two minutes

  1. Pick two or three deals that are in HubSpot but missing from Claap.

  2. Look for a recorded meeting attached to each of them.

  3. If there is no recording, the behaviour is expected and the deal will appear as soon as one exists.

If you find a deal that does have a recorded meeting and still doesn't appear in your Deals page, that is a different problem. Send us the deal name and we will investigate.

Link a meeting to a deal yourself

Some meetings are recorded without being matched automatically, usually because the participants weren't identified. You can create the link by hand from the meeting itself.

When Claap asks you for the deal URL, it means the HubSpot URL, not a Claap one. Open the deal in HubSpot and copy the address from your browser bar. Claap uses it to retrieve the deal identifier on the CRM side and attach the meeting to the right record.

The two causes worth ruling out first

No external participant was identified on the call. Matching runs on participants. If a recording has no identified speakers, Claap has no contact and no company to work with, so it cannot classify the call as external or attach it to a deal. This happens most often with recordings made through the browser extension. See My participants aren't recognised, so nothing reaches my CRM.

The recording is private. Private recordings are not synced to the CRM. If the calls you are looking for sit in a private folder, they will not produce any deal association.

What this means for your reporting

If you are building pipeline coverage reporting on top of Claap, remember that your Deals page reflects deals your team has actually talked to, not your full HubSpot pipeline. That is useful in itself, since the difference between the two numbers is your untouched pipeline. It is not the right source if you need a complete deal list.
