Verify your company domain and control how people join your workspace

Verify your company's email domain, let colleagues join without an invite, and choose who can create new Claap workspaces.

By the end of this article, you'll know how to verify your company's email domain in Claap, let colleagues join your workspace without an invite, and decide who can create new Claap workspaces with a company email.

This keeps your team in one place instead of spreading across separate workspaces.

Before you start

  • You need to be an Admin or Owner of the workspace. The Identity page is only visible to them.

  • You need access to your domain's DNS settings, or someone in your IT team who has it.

  • The Workspace creation setting is available on the Business plan. On other plans, it shows a lock and an upgrade option.

Step 1: Verify your company domain

Verifying a domain proves that it belongs to your company. It only takes a few minutes, and it doesn't affect your email or your website.

  1. Click the name of your workspace in the lateral bar, then open Workspace settings.

  2. Open the Identity page, right after Security.

  3. In Verified domains, click Add domain.

  4. Enter your domain (for example, yourcompany.com).

  5. Add the TXT record shown in the modal to your domain's DNS settings. Use the copy button to avoid typos.

  6. Click Verify now, or come back later to verify.

Your domain then appears in the list with its status.

Domain statuses

  • Verified on [date]: the domain is verified.

  • Waiting for DNS record: Claap hasn't checked the record yet, or you chose to verify later.

  • Record not found: Claap couldn't find the TXT record on your domain.

  • DNS lookup failed: Claap couldn't read your domain's DNS records.

  • Verified by another workspace: another Claap workspace has already verified this domain.

From the menu on each domain row, you can View DNS record, Verify again or Remove domain.

💡 Personal email domains such as gmail.com can't be verified.

Step 2: Let colleagues join without an invite

Once a domain is verified, you can turn on Automatic join, under the verified domains on the Identity page.

When it's on, anyone who signs up with an email from your verified domain joins your workspace without an invite. It is off by default.

Step 3: Choose who can create a workspace

The Workspace creation setting, also on the Identity page, controls who can create a new Claap workspace with an email from your verified domain.

  • Anyone: people can still create their own workspace, but your workspace is shown first when they sign up.

  • Only admins: everyone else joins your workspace or asks an admin for access.

⚠️ If you choose Only admins while Automatic join is off, Claap shows a warning with an Allow automatic join link. Without automatic join, new colleagues will need an invite from an admin to get in.

Both Automatic join and Workspace creation stay disabled until at least one domain is verified.

What your colleagues see when they sign up

When someone signs up with an email from your verified domain, the Join your teammates in Claap screen follows your settings.

With Workspace creation set to Anyone: your workspace is listed first with a Your company's workspace badge. The option to create a new workspace is still available.

With Workspace creation set to Only admins: only your workspace is shown, along with any workspace they were invited to. There is no option to create a new workspace, and the screen says that workspace creation is managed by your company's admins.

  • If Automatic join is on, they see a Join button.

  • If Automatic join is off, the card tells them to ask an admin for an invite.

The same rules apply to the Join or create workspace menu inside the app. Members who are not admins no longer see Create a new workspace when the policy is Only admins.

Read-only workspaces are never listed among the workspaces people can join.

FAQ

Verification fails. What should I do?

DNS changes can take up to 48 hours to appear. Check that the TXT value matches exactly what Claap shows, then click Verify again from the domain row menu.

The domain is already verified by another workspace

A domain can only be verified by one Claap workspace. Contact us at support@claap.io.

Where did "Create a new workspace" go?

Your company's admins only allow admins to create workspaces. Join your company's workspace, or ask one of your admins if you need a new one.

Why is there no Join button on my company's workspace?

Automatic join is off in your company's workspace. Ask an admin to send you an invite.

Why don't I see my colleague's workspace when I sign up?

That workspace is read-only, so it isn't offered to join. Ask its admin for an invite, or join your company's main workspace.

I invited someone before our workspace became paid. Does the invite still work?

Yes. Invitations already sent can still be accepted.
