Claap x Pipedrive integration

Log Claap meeting summaries to Pipedrive automatically

Every external meeting you record in Claap contains information your CRM needs: who attended, what was discussed, and what happens next. Without an integration, that information lives in Claap while Pipedrive stays stale. Connecting the two means Pipedrive updates automatically after every recorded meeting : your contacts, deals, and organizations always reflect the latest conversation, and your team can jump back to the original recording in one click.

Prerequisites

You should already have:

  • A calendar connected to Claap : only meetings from an integrated calendar are eligible for Pipedrive sync. Connect yours first:

  • A Pipedrive account : you'll need your Pipedrive login credentials during the connection step

  • Admin access in Pipedrive (recommended) : see the note under Phase 1 for why this matters

Connect your Pipedrive account to Claap

This phase links your Pipedrive account to Claap. You only need to do this once. After the connection is established, Claap automatically pushes notes to Pipedrive for every eligible recorded meeting.

Open the Pipedrive integration tile in Claap

Go to [Settings] > [Apps & Integrations] and click the Pipedrive tile.

Initiate the connection

Click [Connect] on the Pipedrive integration panel.

This opens Pipedrive's authentication flow in a new window.

Authenticate with Pipedrive

Log in to Pipedrive using the same email address you use for Claap.

Using the same email ensures that notes and contacts created by the integration are attributed to your user not to a generic integration account.

Grant access permissions

Click [Allow and Install] when Pipedrive asks for permission to connect the Claap integration.

This grants Claap the access it needs to create notes, contacts, and activity records in Pipedrive on your behalf.

Verify: Return to [Settings] > [Apps & Integrations] in Claap. The Pipedrive tile should now display a green checkmark confirming the connection is active.

Who should connect the integration?

Connect the integration using an account that holds admin-level access in Pipedrive, if possible. When an admin connects the integration, Claap attributes each note to the Claap user who recorded the meeting. If a non-admin connects the integration, all notes appear as created by the user who set up the connection regardless of who recorded the meeting.

Understand how Pipedrive notes are created automatically

Once your Pipedrive account is connected to Claap, note creation happens automatically. You do not need to take any action after each meeting.

How Claap creates Pipedrive notes:

After a recorded meeting is processed, Claap creates one note activity in Pipedrive for each external meeting attendee. Each note contains:

  • Meeting date, time, and duration

  • List of participants

  • Meeting overview and AI-generated insights from Claap

  • A direct link to the meeting recording in Claap

Claap attaches each note to the relevant People, Deals, and Organizations in Pipedrive based on attendee email addresses. If an attendee does not yet exist as a contact in Pipedrive, Claap creates a new contact for that person automatically.

Verify: Open a processed meeting recording in Claap and go to the [Overview] tab. Scroll to the bottom you should see links to the corresponding Pipedrive notes.

Meetings that have Pipedrive notes attached also display the Pipedrive icon on their tile in your Claap Library, so you can identify synced recordings at a glance.

Manually create or update a Pipedrive note from Claap

Claap creates Pipedrive notes automatically, but you can also trigger or refresh a note manually for example, if you updated the meeting summary after the initial sync and want to push the latest version to Pipedrive.

Open the recording and go to the Overview tab

Open the Claap meeting recording you want to sync. Navigate to the [Overview] tab.

Create or update the Pipedrive note

  • To create a note for the first time, click [Add note to Pipedrive].

  • To push an updated summary to an existing note, click [Update note on Pipedrive].

Claap sends the current meeting summary, details, and recording link to Pipedrive immediately. The updated note appears in Pipedrive under the relevant contacts, deals, and organizations.
