Not sure why your coworker's video isn't appearing in your Library?
Or why they can't see your latest meeting recording?
You have the same license and role as your colleague and wonder why they can see more videos than you?
Here are a few tips to help you ensure videos are visible when and where they should be and can be accessed by the desired workspace members.
What recordings or channels can I see in my Library?
Channels
The following channels will appear in your Library:
Channels which allow access to all workspace members, and
Private channels of which you are a member
Channels which allow access to all workspace members
In a channel, click on Share
in the header bar, and choose one of Full access
, Can comment
, or Can view
next to the permission "Everyone at ...":
This will cause this channel to appear in the lateral bar of all members of the workspace, and workspace members will have the selected access level in that channel. All videos added to this channel will inherit its Share settings.
Private channels of which you are member
Some channels can be made private to a specific set of workspace members. Only these workspace members will see the channel displayed in their Library.
To make a channel private:
Click on
Share
in the header barChoose
No access
next to the permission "Everyone at ..." and confirm in the confirmation popup:Add workspace members who should be able to see this channel in their Library by entering their name or email in the "Add people or emails" field. Select the appropriate access level for each member you add
Once your channel is private, you will notice a π icon next to the channel name in the header bar. You will also notice that icon in your Library:
Recordings
Similarly to channels, the recordings which appear in your Library are either:
Recordings present in a channel which you have access to, or
Recordings where you were explicitly invited
Recordings present in a channel which you have access to
Any recording which is part of a channel which appears in your Library (as described in the previous section) will be visible and accessible to you when accessing the channel.
Recordings where you were explicitly invited
You can be member of a recording with one of 3 access permissions: Full access
, Can comment
, or Can view
In the example below, the recording is private to all workspace members (see (1) the No access
setting), but is accessible with a different set of permissions to two specific workspace members (see (2) one Full access
and one Can comment
). These two workspace members will see this recording in their Library, the others will not.
Note that as an author of a recording you will automatically be added as a Full access
member to your recording.
π‘ If you are invited to a recording but that recording is not in a channel, the recording will appear in the Shared with me
tab of your Library.
Why am I not seeing the same recordings as my colleague?
Keep in mind that the channels and videos you see are specific to you. Another workspace member may not necessarily see the same set of channels and videos, as that will depend on their respective settings.
Note that the role or license of a workspace member does not have any influence on the videos they can access. Access is exclusively determined by permissions set on the video or channel. In particular, this means that an Admin role does not necessarily have access to all videos in the workspace.
