Meeting automation allows you to decide which meetings are recorded automatically and how they are processed once the meeting is over

The power of Claap comes with having your meetings automatically recorded and automatically processed to extract AI insights and sync with your CRM. Meeting automation preferences allow you to decide which meetings are to be recorded and how they will be processed once the meeting is over.

⚠️ In order for Meeting recording automation to be available, you will first need to connect your Google Calendar or Outlook Calendar.

What happens when a meeting is set to be recorded automatically?

When a meeting is marked as needing to be recorded automatically, the Claap bot recorder will join that meeting at its scheduled start time and will silently record it. When the meeting is over (or when the bot is rejected from the meeting), the meeting recording will be processed, the AI summary and insights will be generated, and the CRM sync will be triggered automatically.

Note: a meeting which is scheduled to be recorded automatically will be shown with a Record toggle set to ON in your Calendar page, as follows:

⚠️ It's important to accept the recording bot in the meeting when it asks to join. If the bot is not accepted into the meeting, or if it is rejected, it will not be able to record the meeting.

How to configure your Meeting automation preferences

  1. Open your Settings by clicking on your workspace name in the lateral bar of your Claap workspace

  2. Click on Meeting preferences under the Personal Settings section

  3. Click on Automation preferences

Which automation settings can be configured?

💡 Depending on your role and license, you may be able to configure meeting recording automation for yourself as an individual workspace member and/or for the entire workspace. Workspace-level automation settings are described later in this article.

The automation preferences settings panel include several types of settings:

1. Which meetings to record and share

  • Auto-record the following meetings in my calendar

    This setting determines which meetings will be automatically recorded, if any, based on the meeting's calendar invitation.

    Options include:

    • All meetings

    • Meetings with only Workspace participants

    • Meetings with external participants (an external participant is someone who is not from your Workspace email domain)

    • None

  • Only record meetings I'm hosting

    This setting indicates whether to record only meetings where you are identified as the organizer in the calendar invitation. This setting is treated in addition to the first setting above. You can toggle it ON or OFF.

  • Auto-share the meeting recap

    This setting determines who should receive the meeting summary and a link to join the recording in Claap.

    Options include:

    • To all participants

    • To Workspace participants only

    • To meeting recorder only

2. Post-meeting automation for internal meetings

These settings apply to all recorded internal meetings. Internal meetings are meetings with only participants from the Workspace.

  • Generate the following Insights template

    This setting determines which Insights template will be used to automatically generate AI Insights for this meeting. The list of templates is the same as the one available in your workspace.

  • Add the meeting to the following channel

    This setting allows you to select a specific channel in which all internal meetings will be added.

  • Publish the meeting to workspace

    This setting sets the default access permissions for internal meetings.

    Options include:

    • Everyone in the Workspace

    • Invite only

    • Anyone with a link in the Workspace


    ⚠️ This is disabled when the channel setting above is set, as the channel-specific permissions will apply automatically.

  • Create a public link for the meeting

    This setting indicates whether the meeting recording should have a public link enabled. Public links enable the recording to be viewed by non-logged in users. You can toggle this setting ON or OFF.

    ⚠️ This is disabled when the channel setting above is set, as the channel-specific permissions will apply automatically.

3. Post-meeting automation for external meetings

These settings apply to all recorded external meetings. External meetings are meetings with at least one of the participants was not from the Workspace.

The available settings are the same as the ones available for internal meetings, described above.

Which automation settings can be configured at workspace-level?

Workspace-level automation settings are available depending on your license and role.

To access workspace automation settings:

  1. Open your Settings by clicking on your workspace name in the lateral bar of your Claap workspace

  2. Click on Meeting Controls under the Workspace Settings section

These Meeting controls are similar to the Meeting preferences described in the previous section, though they will apply to all workspace members.

⚠️ Other workspace members can override Meeting controls in their individual Meeting preferences.

⚠️ Anytime a setting is changed in the Meeting controls, it propagates automatically to all workspace members.
