Managing Your Contacts in Claap

The Contacts Report feature in Claap helps you organize and track all the people you interact with during meetings. This comprehensive contact management system allows you to view participant details, track meeting history, and maintain important relationship information all in one place.

Accessing Your Contacts

You can open your Contacts panel in two ways:

  1. From the sidebar: Click on the Contacts menu in the lateral navigation bar

  2. Using keyboard shortcut: Press G + K for quick access

Understanding the Contacts List

Once you open the Contacts panel, you'll see a comprehensive list of all your contacts organized in columns:

  • Name: The contact's full name

  • Email: Their email address

  • Company: The organization they're associated with (if linked)

Contact Categories

Use the tabs at the top to filter your contacts:

  • All Contacts: Shows every contact in your system

  • External Contacts: People outside your organization, typically identified by:

    • Different email domains from your workspace

    • External company associations

  • Internal Contacts: People within your organization who:

    • Share your workspace domain

    • Attend meetings with you but aren't workspace members

    • Are colleagues but haven't joined your Claap workspace

Managing Individual Contacts

Editing an Existing Contact

  1. Locate the contact you want to edit in the list

  2. Click the three-dot menu (β‹―) on the far right of their row

  3. Select Edit Contact from the dropdown menu

  4. In the popup window, update the contact's name

  5. Click Update Contact to save changes, or Cancel to discard them

Adding a New Contact

  1. Click the plus button (+) at the top of the contacts list

  2. Enter the contact's name and email address

  3. Click Create Contact to save, or Cancel to abort

Important: Each contact must have a unique email address. If you try to add a contact with an email that already exists in your system, you'll see a warning message preventing the creation.

Viewing Contact Details

Click on any contact name to open a detailed side panel with comprehensive information about that person.

Contact Information Section

The right side panel displays:

  • Contact's full name

  • Associated company

  • Email address

  • Custom description field (for your own notes)

  • AI-generated description based on your interactions

Quick Actions

From the contact details panel, you can:

  • Send Email: Click Send Email to open your default email application with a new message addressed to this contact.

  • Ask AI: Click Ask Anything to open Claap AI, where you can ask questions about meetings or interactions with this specific contact.

Upcoming Meetings

When your calendar is connected to Claap, this section shows your scheduled meetings with this contact in the near future. This feature helps you prepare for future interactions, stay organized, and review your meeting recording configuration right from the Contact side panel.

Activity History

The Activity section provides a complete timeline of your interactions with this contact, including:

Meeting Records:

  • Date and name of each meeting

  • List of all participants

  • Key takeaways and outcomes summary

  • Click any meeting name to open the corresponding recording in a new tab

This chronological view helps you maintain context for your relationship and quickly reference past conversations.

Finding Contacts

Search Functionality

Use the search feature to quickly locate specific contacts:

  1. Click the Search button at the top of the contacts list

  2. Enter the person's name, email, or company

  3. The list will automatically filter to show matching results

Navigation

If you have many contacts, use the pagination controls at the bottom of the page to navigate through multiple pages of results. You can move forward and backward through the pages as needed.
