Manage and Track Your Contacts in Claap
Learning Objective
By the end of this tutorial, you'll know how to add, edit, search, and navigate your Contacts in Claap and how to use contact detail panels to review meeting history, prepare for upcoming meetings, and query Claap AI about a specific person.
Why this matters
Every meeting generates relationship context: who attended, what was discussed, what comes next. Claap's Contacts feature centralizes that context so you don't lose it between conversations. Instead of reconstructing a contact's history from scattered notes or recordings, you can review their full meeting timeline, read AI-generated interaction summaries, and prepare for your next call, all from a single panel.
Prerequisites
Your Claap workspace is set up and you've attended or recorded at least one meeting
Your calendar is connected to Claap if you want to see upcoming meetings on contact profiles (see your workspace calendar settings)
Open the Contacts Panel and Understand the List
Open Contacts
Go to the lateral navigation bar and click [Contacts]. Alternatively, press G + K on your keyboard for direct access from anywhere in Claap.
Opening Contacts from the sidebar gives you access to your full contact database every person Claap has captured across your meetings.
Filter contacts by type
At the top of the Contacts panel, select a tab to filter the list:
[All Contacts] : every contact in your system
[External Contacts] : people outside your organization, identified by a different email domain or an external company association
[Internal Contacts] : colleagues who share your workspace domain, including people who attend meetings with you but haven't joined your Claap workspace
Filtering by contact type helps you focus your outreach or review for example, checking all external contacts before a quarterly business review period.
Review contact columns
The Contacts list displays three columns for each person:
Name : the contact's full name
Email : their email address
Company : the organization they're associated with, if one is linked
Add and Edit Contacts in Claap
Add a new contact
In the Contacts panel, click the [+] button at the top of the contacts list. Enter the contact's name and email address, then click [Create Contact] to save. Click [Cancel] to discard without saving.
Each contact must have a unique email address. If the email you enter already exists in your Claap workspace, a warning message will appear and the contact will not be created.
Edit an existing contact
Locate the contact you want to update in the Contacts list. Click the three-dot menu (⋯) on the far right of their row, then select [Edit Contact] from the dropdown. In the popup window, update the contact's name, then click [Update Contact] to save or [Cancel] to discard your changes.
Verify: After clicking [Update Contact], the contact's name in the Contacts list should reflect your change immediately.
View Contact Details and Interaction History
Open a contact's detail panel
In the Contacts list, click any contact's name. A detail panel opens on the right side of the screen, showing:
Full name
Associated company
Email address
A custom description field for your own notes
An AI-generated description based on your interactions with this contact
The AI-generated description gives you a quick summary of who this person is and the context of your relationship useful when preparing for a meeting with someone you haven't spoken to in a while.
Use quick actions from the contact panel
From the contact detail panel, you have two quick actions:
[Send Email] : opens your default email application with a new message pre-addressed to this contact
[Ask Anything] : opens Claap AI so you can ask questions about meetings or interactions with this specific contact (for example, "What did we discuss about pricing?" or "What was agreed in our last call?")
Review upcoming meetings
If your calendar is connected to Claap, the Upcoming Meetings section of the contact detail panel shows your scheduled meetings with this contact in the near future. Use this section to prepare for upcoming interactions and check your meeting recording configuration before the call.
Review past meeting history
The Activity section of the contact detail panel shows a chronological timeline of your interactions with this contact. For each meeting, you can see:
The date and name of the meeting
The list of all participants
A summary of key takeaways and outcomes
Click any meeting name in the Activity section to open the corresponding recording in a new tab.
