Customise the content of your meeting overwiew

Stop reading overviews built for everyone. Build the one built for you.

Every team cares about different things after a call. Your overviews should reflect that.

With AI Fields, you decide the questions Claap answers after every meeting, in your own words. Turn on the right automation and those answers land in your Overview on their own, before you even open the recording.

No manual generation. No copy pasting. Just the overviews you actually want, every time.

Before you start :

  • A Google Calendar or Outlook Calendar connected to Claap

  • A meeting recorded with the Claap bot recorder

How it works in two layers

There are two pieces to this, and you need both.

AI Fields decide what gets extracted and how it looks.

Automation preferences decide which meetings get processed, and with which template.

Set up the first one only and you will still be clicking generate after every call. Set up both and it runs itself.

Decide what you want to know

AI Fields are simply the questions you ask of every meeting.

Things like :

  • What is the customer's main pain point ?

  • Was a competitor mentioned ?

  • What budget was discussed ?

  • What are the next agreed actions ?

You write the prompt, you pick the format of the answer (paragraph, bullet points, action list, rating, date, checkbox and more), and if you want, you connect the field to a CRM property so the answer syncs to HubSpot or Salesforce without you touching it.

To create one : open a view in Meetings, click Add Column, then Add New AI field. Start from scratch, or grab one of the ready made templates like Action Items, Budget, Champion, Customer Needs, Decision Criteria or Deal Timing.

💡 Testing a field is free. Running one costs 1 AI credit. So hit Test, refine your prompt, and only switch it on when you like what comes back.

Let your fields run themselves

Creating a field does not make it fill itself in. That is what Auto-run on New Meetings is for.

Flip it on and Claap generates the answer in the background every time a new meeting is processed. Nothing to launch, nothing to remember.

It works best on the fields you want on every single call : Action Items, Budget, Champion Detection, Customer Pain Points.

Tell Claap which meetings to process

This is the step most people miss, and the reason a beautifully configured field sometimes stays empty.

  1. Click your workspace name in the lateral bar to open your Settings

  2. Go to Meeting preferences under Personal Settings

  3. Open Automation preferences

You will see two post meeting sections : one for internal meetings (only people from your workspace) and one for external meetings (at least one person outside it). In each, pick the template to generate automatically. That is where everything you built above gets plugged in.

While you are there, this is also where you choose which meetings are auto recorded, whether to record only the ones you host, and who receives the recap email.

What happens after your next call

The bot joins at the scheduled start time and records silently. When the meeting ends, Claap gets to work : the recording is processed, your summary and your fields are generated, the CRM sync fires, and the recording is shared according to your settings.

By the time you open it, the Overview is already the overview you designed.

⚠️ The bot has to be admitted when it asks to join. If it gets rejected, there is no recording. See Using the Claap bot recorder.

Want it for the whole team ?

Same idea, one level up. Head to Admin Automations under Workspace Settings and the same rules apply to every workspace member, or to a specific team.

Turn on Prevent members from overriding this automation and everyone reads from the same overview structure. Change something there and it propagates on its own.

💡 If someone belongs to several teams, the order of the teams decides which settings win. Drag and drop to set the priority. Workspace default at the bottom is the fallback.

Availability depends on your licence and role.

Keeping things tidy

Admins get a single view of every field in the workspace under Settings → AI Fields : name, visibility, owner, creation date, status. Search them, archive what nobody uses, restore anything you archived too fast.

And once your fields have values, they double as filters in your Meeting Views. Every call where budget came up, where a competitor was named, where actions are still open : one click.
