Claap x Salesforce integration

Overview

The Claap x Salesforce integration allows you to log directly from Claap a note in Salesforce containing your meeting details and summary and map that note to the relevant contacts and opportunities.

โš ๏ธ In order for Salesforce integration to work, you will first need to connect your Google Calendar or Outlook Calendar. Only recordings of meetings in your integrated calendar will have the Salesforce push enabled.

Turn on Salesforce Integration

Before being able to log a note in Salesforce directly from Claap, you will need to connect your Salesforce account with your Claap account:

  1. Open your Apps & Integrations settings and click on the Salesforce tile:

  2. Click on "Connect":

  3. Log in through Salesforce's authentication with the same email account you used to log into Claap

  4. That's it, at this point, you have connected your Salesforce account with your Claap account. The Salesforce integration tile should now show a green check:

How it works

Anytime you record a meeting with external participants, you will have the ability to create a corresponding note activity for this meeting in Salesforce, attached to the relevant Contact, Opportunity, and Account in Salesforce.

This note will contain the meeting details, the list of participants, the meeting summary from Claap, and a link to the meeting recording.

๐Ÿ’ก A note will be created in Salesforce for each external meeting attendee. A new contact will be added in HubSpot if the contact/email does not yet exist.

To create a Salesforce note from Claap:

  1. Click on the Send to CRM button in the Overview tab:

  2. Click on Add note to Salesforce

  3. That's it! You can then access your note anytime directly from the link provided below the meeting recording, at the bottom of the Overview tab, where Files & Links are attached:

  4. If you like, you can also update the note in order to push the latest Summary if you've changed it. To do this, click on Send to CRM button in the Overview tab and select Update note on Salesforce:

Your contacts and deals are always up-to-date with the latest meeting information available directly in Salesforce, and you can easily go back to the original meeting recording if you ever need.

Ensure you have the appropriate setup in Salesforce

In order to take full advantage of our Salesforce integration, please make sure that you have the following setup in Salesforce. You will need have top-level Salesforce administrator privileges or full object-level and full-field-level security permissions to perform the following configuration.

Enable Notes

  1. In your Salesforce Setup, navigate to Feature Settings > Sales > Notes Settings

  2. Make sure Enable Notes is toggled ON:

Add Notes to the Page Layout of your CRM objects

  1. In your Salesforce Setup, navigate to your Object Manager

  2. Click on Account

  3. Click on Page Layouts

  4. Add Notes to the page layout:

  5. Repeat step 2-4 for Contact and Opportunity objects

Configure a Permission Set for the Claap integration

  1. In your Salesforce Setup, navigate to Users > Permission Sets

  2. Create a new Permission Set

  3. In this new Permission Set, navigate to Object Settings

  4. Open the Accounts settings

    1. Enable Read permissions on the object

    2. Enable Read Access for the Field API Name: Name

  5. Open the Opportunities settings

    1. Enable Read permissions on the object

    2. Enable Read Access for the Field API Name: AccountId

    3. Enable Read Access for the Field API Name: Name

  6. Open the Contacts settings

    1. Enable Read, Create, and Edit permissions on the object

    2. Enable Read and Edit Access for the Field API Name: AccountId

    3. Enable Read and Edit Access for the Field API Name: Email

    4. Enable Read and Edit Access for the Field API Name: Name

  7. Assign this Permission Set to the Admin user enabling the integration on Claap
