Claap settings are split into two levels that look alike and behave very differently. Almost every "I can't find that option" question comes down to looking in the wrong one. This page is the map: what lives where, and who can change it.

The two levels, and why it matters
Personal Settings apply to you alone. Change them and nothing happens to your colleagues.
Workspace Settings apply to everyone. Most of them are only visible to owners and admins, which is why a member looking for them will not find them at all.
If you are hunting for an option, ask first whether it is about your own behaviour or everyone's. That single question resolves most of it.
Personal Settings
My account
Your photo, name, email and password. Nothing here affects anyone else.
Meeting preferences
The most consequential screen in your personal settings, and the first place to look when a meeting wasn't recorded or a recap went somewhere you didn't expect.
Two tabs: Automation preferences and Bot recorder preferences.
At the top you choose which meetings are auto-recorded, for example meetings with external participants, whether to record only meetings you host, and who the recap is auto-shared with. If you don't want an email for every call, this is the setting to change.
Below that, the behaviour is defined separately for internal meetings and for external meetings: which AI fields are generated, which folder the meeting lands in, whether it is published to the workspace, and whether a public link is created. This is why the same person can have every external call analysed and no internal one.
Video recorder
Your recorder settings for screen and camera recordings.
To install the recorders themselves, open Help & Support and go to Install Claap recorders. You will find the macOS Desktop App, the Chrome Extension and the Mobile App there.
My notifications
Notifications always reach your Claap inbox. What you control here is whether they are also sent by email digest and by Slack, event by event, with a grid of every trigger against the three channels.
Workspace Settings
General
Workspace name, icon, and a company description. That description is worth filling in properly rather than leaving blank, since it gives Claap context about what your company sells.
Members
Everyone in the workspace, across three tabs: Members, Guests and Teams.
Each row shows a Role and a License in separate columns, and the distinction matters enormously. Role covers administration, so Owner, Admin or Member. Licence covers what you can use, so Basic, Pro or Business. A member with no licence assigned shows a dash, and that is the usual explanation when someone says their account is broken.
Deactivated users stay listed with no role and no licence, so a licence can be reassigned rather than bought again.
Admin automations
Where an admin sets rules for the whole workspace rather than per person. Each automation has a Trigger, for example meeting type is External, and one or more Actions, such as auto-personalising the summary with chosen AI fields.
Two things to know. Automations are prioritised by drag and drop, so order decides which one wins. And Enforce automation prevents members from overriding a rule with their personal preferences, which is the setting that decides whether Meeting preferences or the workspace rule takes precedence.
AI fields
The catalogue of every AI field in the workspace, active and archived, with its visibility, the object it applies to, its owner and its creation date. New fields are created from here with Add new AI field.
Archiving rather than deleting matters: an archived field stops running without losing what it already produced.
Views
Your saved views, organised by object: Meetings, Contacts, Deals and Companies. Each view shows its type, the AI fields it displays, its owner and whether it is shared.
Email templates
Ready made templates for follow ups, demos, proposals, discovery, onboarding and more, plus your own under Custom templates.
Each template has a Context field describing the objective, formatting choices for tone, length, format and language, an option to append the meeting link and recap, and personalisation settings. Notably, you can add three of your own emails so the agent reproduces your tone of voice and structure rather than a generic voice.
Glossary
Your own terms, with the misspellings to correct. This improves both transcription and insights, and it is the fix for product names, company names and jargon that keep coming back wrong in your transcripts.
Worth doing early. Every call transcribed before you add a term keeps the wrong spelling.
API & Webhooks
Two tabs, Webhooks and API. Create your API key here, and register the endpoints that should be notified when recordings are added or updated.
Owners and admins only. This is why access requests land on an admin rather than being self service.
Security
The screen behind most "why can't I change this option" questions.
Disable public links is split in two, one toggle for folders and one for recordings, so they can be locked independently. Default link privacy sets what new videos default to. Set recording retention period decides how long recordings are kept before permanent removal, and can be left indefinite. Email sync allows Claap to collect and analyse customer emails, with each user still connecting their own inbox. And under AI fields and views, two toggles restrict creating AI fields, and sharing AI fields and views, to admins only.

Branding
Your logo on folders and videos viewed through a public link, the colour of the player controls, and the option to remove Claap watermark, logo and sign up buttons.
Plans & Licenses
Your current plan and renewal date, your credits remaining with the reset date, and the three plans side by side with what each includes. Licences are bought from here.
Two things to read carefully. Credits reset on your plan renewal date, not on the first of the month. And the allowance is a workspace pool, so heavy use by one person draws on what the team has left.
Billing
Next invoice date, invoice total, and your licence counts. From here you manage billing settings or jump to members and licences. Billing questions go to support@claap.io.
