Workspace members can configure privacy settings for recordings and folders to give the appropriate access to the right people. Workspace Admins can also restrict or set defaults for the entire workspace.

What are public links for folders and recordings?

Public links to folders and recordings allow any person who has been given the link to access the corresponding content, even without being logged into Claap. This essentially makes the content publicly available to anyone on the internet who is in possession of the link.

Public links are particularly useful when you want to share some specific content with external contacts or prospects who you would prefer not to add to your workspace.

However keep in mind that enabling the public link on a recording or folder can also allow other users than those you originally intended to access your content if the link is shared with them. Public links will also prevent you from seeing who specifically accessed your content in the Analytics view of a recording. Public views will show as Anonymous views in that report.

Workspace privacy settings

Disable public links

Admins of a workspace can choose to disable public links across the entire workspace. This will prevent the ability to share folders and recordings with anyone on the internet using a public link. This means that accessing content in the workspace will require a Claap account, and to either be a workspace member or an invited Guest in the workspace.

To configure this setting, go to Workspace settings > Security. There are 2 distinct settings available:

  • Prevent the ability to share folders with a public link

    Toggling this setting to ON will disable the public link option in the Share settings of all folders.

  • Prevent the ability to share recordings with a public link

    Toggling this setting to ON will disable the public link option in the Share settings of all recordings.

⚠️ Note that if you allow public links for folders, you cannot prevent public links for recordings.

Default link privacy

Admins can also set the default link sharing option for new recordings (private or public).

Specifically, this setting is relevant when public links for recordings are generally allowed in the workspace (see settings above). If public links are disallowed, this setting will not be editable and set to Private link.

The meeting is available in Workspace settings > Security.

Recording access permissions

Claap recordings have by default the same access rights as the folder they belong to. For example, if a folder has its public link enabled, any recording added to that folder will have its public link enabled. Or if a folder has its Member permissions set to no Access, it will be considered private and any new recording added to it will also have a No Access level of permissions for workspace Members.

⚠️ Important note: if a folder is public, you cannot change the privacy of an individual recording in that folder to private. All recordings in a public folder will be public too. If a folder is private, however, you can change the privacy of an individual recording to public.

πŸ’‘ In some cases, you might want to ensure people with access to a recording can see that recording only and not all the recordings within its folder. To do so, you need to disable the folder public link setting and enable the public link specifically for the recordings you wish to share.
