Generate AI follow-up emails from Claap recordings

By the end of this tutorial, you'll know how to generate a personalized follow-up email from a Claap recording, configure it using a template, customize the tone and format to match your style, and send it directly from your email client.

Why this matters

Writing follow-up emails after back-to-back meetings takes time you rarely have. Claap's AI Follow-up Email feature reads your recording and drafts a structured email in minutes — with the right tone, length, and context for the meeting type. The result is faster follow-ups and less time switching between your notes and your inbox.

Prerequisites

You should already have:

  • A Claap account with at least one completed recording

  • Access to the [Overview] tab on a Claap recording

  • A default email client configured on your device (required to open the draft in your inbox)

Core lesson — Step-by-Step Workflow

Phase 1: Open the email generator from your recording

Step 1: Open the recording you want to follow up on

Go to your Claap workspace and open the recording for the meeting you want to send a follow-up about. The AI Follow-up Email feature generates email content based on that specific recording's transcript and context.

Step 2: Click [Generate email follow up] in the Overview tab

Phase 2: Choose or create an email template

Step 3: Select a template that matches your meeting type

On the template selection screen, you'll see two categories: Claap default templates and your own custom templates.

Claap default templates cover the following meeting types:

  • Demo meeting

  • Discovery meeting

  • Onboarding meeting

  • Proposal meeting

  • Partnership meeting

  • Interview follow-up

  • Internal project review

Select the template that most closely matches your meeting. Each template is pre-configured with structure and tone appropriate for that meeting type.

Step 4: (Optional) Create a custom template

If none of the default templates fit your needs, click [Add Template] to build your own. A custom template gives you full control over how the AI approaches the email.

Configure the following options:

  • Context — Describe the email's objective so the AI understands the purpose

  • Tone — Choose Informal or Formal

  • Length — Choose Short, Medium, or Long

  • Format — Choose Text or Rich text

  • Language — Set the language of the email

  • Meeting Link — Toggle on or off to include or exclude the Claap recording link and recording Overview

To personalize further:

  • Subject personalization — Write a custom subject line or let the AI generate one

  • Tone of Voice personalization — Paste up to 3 examples of your own emails so the AI can match your writing style

Phase 3: Generate and refine your email draft

Step 5: Generate the email

After selecting or creating your template, click the template to start generation. While the AI processes the recording, you'll see a "Generating email" message. Once complete, a draft appears with email content drawn from your meeting recording.

Step 6: Add recipients and edit the subject line

In the draft view, fill in the [To], [CC], and [BCC] fields with recipient email addresses. Edit the auto-generated subject line if needed.

Step 7: Edit the email body

Review the generated email body and make any adjustments:

  • Select text to access formatting tools (bold, italics, bullet points)

  • Use the sidebar options to change the Tone, Length, Format, or Language

  • Edit the body text directly to add, remove, or modify content

Step 8: Regenerate if needed

If the draft doesn't meet your needs after adjustments, click [Regenerate] to produce a new version using your updated sidebar settings. Regenerating replaces the current draft, so copy anything you want to keep before clicking.

Verify: Before moving to the next phase, confirm the email body accurately reflects the meeting — check that dates, next steps, and action items are correct.

Phase 4: Send the email from your email client

Step 9: Click [Edit in Email App]

When you're satisfied with the draft in Claap, click [Edit in Email App]. Claap opens your device's default email client and pre-fills all fields — recipients, subject line, and body — with the content from your draft.

Step 10: Review and send

Make any final edits in your email client, then send.

Practical Application

Example: Demo follow-up for a new prospect

Situation: A sales rep records a 30-minute product demo with a new prospect. The recording is saved in Claap and the transcript is available.

Goal: Send a follow-up email within an hour of the meeting that recaps the demo, confirms next steps, and includes a link to the recording.

How they built it:

  • Opened the demo recording and clicked [Generate email follow up] in the [Overview] tab

  • Selected the Demo meeting default template

  • Set Length to Medium and Format to Rich text for easy scanning

  • Pasted two previous follow-up emails into the Tone of Voice personalization field so the AI matched the rep's writing style

  • Toggled Meeting Link on to include the Claap recording link in the email body

  • Reviewed the draft, confirmed the next steps were accurate, and clicked [Edit in Email App]

Result: A formatted follow-up email landed in the prospect's inbox within 15 minutes of the meeting ending, with the recording link and confirmed next steps included.
