Keep full control over how your recordings and folders are shared and for how long they're stored using Claap's Security settings panel.
This article is for Admin/Owner user only |
Overview
The Security section gives workspace admins fine-grained control over three key areas:
Who can access your content via public links
The default privacy level applied to new video links
How long recordings are retained before being permanently deleted
You can find these settings by navigating to Workspace Settings β Security.
Disable Public Links
Public links allow anyone on the internet even people without a Claap account to view your content. The Disable public links section lets you turn this off entirely, independently for folders and recordings.
Disable public links for folders
Prevent the ability to share folders with anyone on the internet using a public link.
When this toggle is enabled (blue), no one in your workspace will be able to generate a public link for a folder. Sharing will be restricted to workspace members only.
When to use it: Ideal for workspaces that handle sensitive internal content and want to ensure folders are never accidentally exposed to external parties.
Disable public links for recordings
Prevent the ability to share recordings with anyone on the internet using a public link.
When this toggle is enabled, public link sharing is blocked for all individual recordings as well.
When to use it: Use this when your team regularly records confidential meetings, product demos, or internal updates that should never leave the organization.
π‘ Tip: You can mix and match e.g., disable public links for folders while still allowing them for individual recordings, depending on your security policy. |
Default Link Privacy
Set the default link sharing option for new videos.
This setting determines the default privacy level automatically applied whenever a new video link is created in your workspace.
Option | Description |
Private link (default) | Only people explicitly invited can view the video |
Public link | Anyone with the link can view the video |
By setting this to Private link, you ensure that every new recording starts as private. Team members can still manually change the sharing settings per video β but the safe default is already in place.
When to use it: Recommended for any workspace where confidentiality matters. It prevents accidental public exposure of new recordings.
Set recording retention period
Select how long recordings should be kept in your workspace before they're permanently removed.
β
For a deeper look at this topic, feel free to explore this article. : Adjusting recording retention period
The retention period defines how long Claap stores your recordings. Once the retention period expires, recordings are permanently deleted and cannot be recovered.
Option | Description |
Indefinite (default) | Recordings are kept forever until manually deleted |
Custom period | Recordings are automatically deleted after X days/months |
Setting a retention policy helps your organization stay compliant with data privacy regulations (such as GDPR) by ensuring recordings don't linger indefinitely.
When to use it:
Set to Indefinite if your team needs long-term access to recordings for training, documentation, or reference.
Set a fixed period if you're subject to data retention policies or simply want to keep your workspace clean automatically.
β οΈ Warning: Deletion after the retention period is permanent. Make sure your team is aware of the policy before enabling it.
Who can access these settings?
Security settings are available to workspace admins only. Standard members cannot view or modify these options.
