How to Organize and Customize Your Claap Workspace

Getting your Claap workspace well-organized helps your team find the right videos faster and stay on top of what matters. This article walks you through the key sections of the sidebar and how to make the most of Folders.

Understanding Your Sidebar

The sidebar is your main navigation hub. Here's what each section does:

Inviting Members to Your Workspace

If you have the right permissions, you can invite new members directly from the sidebar. They'll get access to all workspace-level content once they join.

Organizing with Folders

Folders are the backbone of a well-structured Claap workspace. You can use Folders to represent teams, projects, or any recurring category your team works with.

Examples of how teams use Folders:

  • Design Reviews : for feedback on new features

  • Bug Reports : to centralize issue documentation

  • Tutorials : for onboarding or training content

  • Sales Demos : for recorded prospect calls

Creating a Folder

  1. Click the + icon next to Folders in the sidebar

  2. Add a title

  3. Choose an icon to make it easy to recognize

  4. Optionally add a description to help teammates understand its purpose

Customizing a Folder

Once a Folder is created, you can tailor it to your team's workflow:

Labels Add custom labels to categorize Claaps within a Folder. For example, in a Bug Reports Folder, you could use labels like To Review, In Progress, or Fixed to track status at a glance.

Members Invite specific teammates to a Folder especially useful for private Folders or project-specific spaces.

Notification Level Set how often you want to be notified about activity in each Folder. Useful for staying focused and reducing noise.

Star a Folder ⭐ Star your most-used Folders to pin them to the top of your sidebar for quick access.

Slack Integration Connect a Folder to a Slack channel so your team gets notified in Slack whenever a new Claap is added. A great way to keep async updates flowing without switching tools.

Tips for a Clean Workspace

  • Start with a few Folders that match your team's main workflows, then expand as needed.

  • Use private Folders for sensitive projects or external collaborations.

  • Combine Labels + Slack notifications in high-traffic Folders to keep everyone aligned without extra meetings.
